A referral portal is a secure, digital e-health platform that radiological practices, hospitals and clinics use to share medical image data (DICOM) and findings with their referring physicians.

Instead of burning medical images onto patient CDs or sending documents by post, the portal gives referring physicians immediate, location-independent web access to the examination data of joint patients.

It is a central building block for rapid, intersectoral networking and strengthens long-term collaboration between diagnostics and the treating physicians thanks to the greatly simplified, digital workflow.

The process is simple and fully digitalised. If you refer a patient to the radiology department as a referring physician (e.g. as an orthopaedic surgeon), the radiology department will set up a dedicated, password-protected account for the referring physician portal for you.

As it is a web-based SaaS solution (Software-as-a-Service), you do not need a local software installation. You can log into the portal from any device and via any standard web browser, regardless of your location.

After logging in, a clear, user-friendly interface awaits you. Here you will always see the latest, automatically updated image data entries for your patients. With just one click, you can open the images directly from the dashboard and view them in our web viewer.

No. The referring physician portal is completely web-based. Referring doctors only need a standard web browser (e.g. Chrome, Edge) and an internet connection. The images can be opened, viewed and, if desired, downloaded directly from the web portal. There is no need for local software installations or the time-consuming setup of VPN tunnels in your organisation or the practices of referring doctors.

Yes, our solution is completely manufacturer-neutral. This means that the referrer portal can be connected regardless of which manufacturer your primary system comes from. You do not have to change your existing IT infrastructure in order to offer your referrers this digital service. Our referrer portal also works for your referrers regardless of the software they use.

Yes, in addition to the quick view in the web viewer, the referrer portal also offers a download function. If required, referring physicians can securely download the DICOM image data in the DLX standard or create a web link/QR code to import it into their own local PACS or practice management system (PMS). This provides optimum support for the workflow on the recipient side.

If you are already an archive customer with us, you can grant your referring physicians long-term data access to the shared patient data. This allows you to permanently share the complete patient history with the co-operation partner.

When using the referrer portal without the vendor-neutral long-term archive of Telepaxx, data access can be set up for a maximum of 360 days. You can also set the access duration individually up to this maximum period. Data access is automatically restricted accordingly for the respective referrer.

The protection of sensitive health data is a top priority for Telepaxx. The entire image exchange is strictly GDPR-compliant. The data is stored in a sovereign cloud infrastructure that fulfils the highest security requirements:

  • C5 certificate (BSI): The referrer portal has a current C5 Type 1 certificate from the German Federal Office for Information Security (BSI). The C5 criteria catalogue is the recognised standard in Germany for secure cloud services in the healthcare sector.
  • ISO 27001: Since July 2025, Telepaxx Medical Data has been certified according to the globally recognised ISO/IEC 27001 standard. This certification confirms the effectiveness of our information security management system (ISMS).

Technical security measures: All image and diagnostic data is transmitted and stored in encrypted form. The encryption keys are managed separately from the image data. In addition, our cloud infrastructure runs on servers within Germany. This ensures the highest level of data security and absolute compliance with the GDPR.

No, use of the portal is free of charge for your referring physicians. As a radiological facility or clinic, you provide this portal as an exclusive service. In this way, you can strengthen the relationship with referring physicians and simplify intersectoral collaboration.

Use of the portal is free of charge for third parties such as doctors, referring physicians and referrers. Referrers only need an internet connection and an internet-enabled device with a browser to access the data that has been shared.

For medical institutions that use the referring physician portal for temporary or long-term storage of image data and findings and create referring physician accounts, a monthly software usage fee is charged, which is made up of a basic fee and individual costs depending on the range of functions (e.g. an integrated medical viewer for referring physicians).

The referring physician portal, on the other hand, is a professional platform for medical professionals. It offers personal referring physician logins that provide temporary or, if required, permanent access to patient images and enable the connection of additional functions such as the medical DICOM viewer for diagnosis or second opinions.

The TMD Cloud is a modular software for medical image data management that can be used to digitize various workflows in radiology and other imaging disciplines.

When used as a referrer portal, the following functions are included as standard:

  • Temporary storage of DICOM data
  • User-friendly web portal for the administration of referrer accounts by the sharing institution and for retrieving approved data by authorised referrers

To use the TMD Cloud referring physician portal, all you need is Internet access, a DICOM interface on your PACS or the generating modalities and a Windows server (local or virtualised), via which the DICOM data is sent encrypted to the cloud storage.

This server should fulfil at least the following requirements:

  • Server / VM Windows Server 2022/2025
  • CPU 8 cores (minimum)
  • RAM 8 GB (minimum)
  • Hard drive 250 GB (at least 2 times the daily volume, ideally SSD / Raid5)

If, in addition to the DICOM data, you would also like to transmit findings in the referring physician portal, an HL7 interface to your RIS/HIS is also required.

For the Use of the web portal a workstation with a current version of a Chromium-based browser such as Google Chrome, Microsoft Edge or others is required in your organisation. If multi-monitor support is required, it is necessary to install a browser plugin provided free of charge by Telepaxx.

The workstation should fulfil the following technical requirements:

  • Processor: 16C
  • Main memory 32 GB
  • Hard drives: C: System - 200 GB, SSD,R1
  • Operating system: All those running the latest version of the Chromium-based browser
  • Network: IP connection to the Internet, if necessary with activation of specific destinations
